Notes for teachers
Organising Foreign Travel for Students
Tailor Made Vietnam has escorted thousands of students to all parts of Southeast Asia. All destinations are safe and accessible and we have an expert team of tour guides to lead you. If you are considering a trip for your school, please contact us and we will arrange a presentation for your staff, students and parents. Please note in most cases, for groups of 20 – 30 + students, the accompanying teachers travel free.
Student interest
Invariably, there will be students wishing to join the trip (and possibly having to withdrawal for various reasons) right up until the final numbers have been determined approximately 6 weeks before the trip begins. So as to establish a firm trip cost and begin booking procedures and flight reservations, it is very important to try to get an idea of the number of students interested in travelling as soon as possible. Generally a minimum of 12 paying students are required to make a trip cost effective with a group of 20 to 30 being an ideal size.
Deposits
To provide Tailor Made Vietnam with an accurate number of travellers, we request that the school collect a deposit from each student. Ideally the deposits will be kept by the school to allow a one-off deposit payment to the Tailor Made Vietnam at a pre-determined date.
Flight reservations
Flights and travel dates should be reserved as far in advance as possible, as flights to the region are quick to sell out. Reservations can be amended or cancelled at any time. We recommend you travel with large, mainstream carriers which offer flexible ticketing and accommodation transfers. Whist budget carriers offer cheaper flights, tickets must paid in full at the time of booking (often months before departure), and tickets are non-re-routable and non-refundable.
Insurance
Tailor Made Vietnam can issue a competitive group insurance policy for any student group specially tailored to the activities student’s will be undertaking on their trip. Whilst many schools have existing insurance policies for students, as do some parents it is important that these policies property cover all insurance contingencies. Passports & Visa
All students and teachers must have a current passport, which is valid for at least six months from the tour completion date. For most travellers travelling to Southeast Asia, visas to Vietnam and Myanmar must be pre-arranged. Visas for Cambodia, Thailand and Laos can be obtained by most nationalities on arrival. Citizens of ASEAN countries require only a passport to visit any of these countries. For further information on visa nationals,please contact us.
Trip Escorts (tour leaders)
Unlike most travel companies, Tailor Made Vietnam does not out-source tour guides. We have a small and committed team, comprising both western and local guides. Each group leader is fluent in both English and at least one Asian language, and has several years’ experience leading student groups through the Southeast Asian region. please contact our office for a full range of educational itineraries, ranging from 9-day trips to comprehensive 25-day exploratory tours.
Risk Assessment
Having escorted students through Southeast Asia for over ten years, Tailor Made Vietnam is committed to complying with risk assessment requirements and procedures applicable to schools worldwide. Upon request, we will gladly provide complete risk assessment documentation and background on our staff/tour leaders (e.g. Working with Children documents, First Aid certificates etc.).
